INVITATION TO TENDER: Provision of Grounds Maintenance

Dear Sir/Madam

Holford Parish Council is considering the appointment of a grounds maintenance contractor for the coming fiscal year. I have been instructed to obtain proposals from interested parties.

The contractor will undertake to provide labour, equipment and any materials required for carrying out the work.

Duration of work: Starting Mid May – Mid-September. Frequency 1 week of every month.

A public liability insurance with cover of a minimum of £2 million must be in force at the time the work is carried out. Payment arrangements are negotiable but it is suggested invoice submission be agreed before the work is undertaken.

Our maintenance areas include:

1.  BOWLING GREEN

Strim around perimeter posts and furniture. Leave a 1 meter border next to the property hedge on the bowling green and cut all grass within the rest of the boundary.

2.  DODINGTON FOUNTAIN and NEARBY ISLAND

Strim around fountain, post box and animal warning sign.

Spray with weed killer the area immediately surrounding the fountain up to the warning sign.

Clear undergrowth and mow/strim as practicable to achieve a tidy appearance.

3.  ISLAND WHERE STOWEY LANE JOINS THE  A39

Strim around the posts to a distance where a mower would be able to approach to ensure continuity of cut grass. Cut grass over the island.

4.  GRASS AREA ADJACENT TO A39 OPPOSITE FORD COTTAGE

Cut grass and strim around base of tree.

5.  VERGES EITHER SIDE of A39 FROM LAY BY to VILLAGE HALL

Cut grass and keep tidy.

6.  DOG POUND

Keep tidy the surrounding area. (Spray weed killer on top of the walls).

7.  BUS SHELTER

Keep tidy.

8. TRIANGLE

Cut grass and keep tidy.

9. GREEN CLOSE NOTICEBOARD GRASS AREA

Cut grass and keep tidy.

Ad hoc services may be requested at an extra cost.

Please provide your quotations based on each maintenance area or per visit covering all areas.

Please provide 2 work references. A site visit is a key factor in your tender consideration.

If interested, your tender must be received by May 01 2020.

It is our intention to complete the tender evaluation at our next Parish meeting on May 11 2020, during which a decision will be made on who is awarded the contract.
